At KimFit, I am committed to maintaining the trust and confidence of visitors to my website(s), subscribers to my mailing list and of course, customers. I don’t sell, trade or rent email lists with other companies or businesses for marketing purposes.

This privacy policy outlines how I collect, use and store data from prospects (prospective customers) and customers across our website, mailing list and information forms.


What Data Do We Collect?

Once you buy a product or service from me, I will collect information from you to assist in delivering the best possible service and ensure your safety. This will be information about your readiness to exercise, and a lifestyle questionnaire including personal details (address, phone number, age, DOB). I will also ask your consent for us to hold this information.

I will use your data to keep me informed about any health or wider needs you have that I need to consider whilst delivering your training session(s). If you have provided me with emergency contact details I will use this data when required. Some of the data collected from you is ‘specialist category’. This includes (not exhaustively) any data relating to disabilities and health. I collect and use this data to enable activities to be tailored to your needs.

This data will be stored either electronically and be password protected or kept locked in a file if a paper copy. If you cease to be a customer, all data, will be kept for six months and then destroyed (shredded) except for data linked to financial details.

I use an accounting platform called QuickBooks for invoicing. They collect your name and email so I can process and send invoices. For more information, please see QuickBook’s privacy policy.

When you pay by BACS I know only what the bank tells me; usually the name of the person and a reference number. I keep records of the service you have purchased for tax purposes and so we can support you in any additional purchases. HRMC have the right to inspect financial information relating to the previous 6 years and require all trading entities to keep financial records for this length of time. 

If you purchase anything via the website this will go via third-party platforms WordPress and Stripe and you will receive an email to confirm your purchase. They will collect your payment details, contact details and shipping details (if necessary) so that I can take the appropriate action and start delivering the service you have purchased.

If you purchase a service that is delivered remotely then a separate platform will hold your data and information. This will include personal details but also training plans, exercise videos, progress photographs and exercise data (e.g., HR/GPS trace) where necessary. I may use your name and email to inform you about any similar products or services that I provide, though you may stop receiving this information at any time by contacting me.

Throughout your work with me I will retain electronic and/or handwritten notes on your sessions. These are designed to help me work effectively and evaluate the work we do.

All information shared by you will be kept strictly confidential, except when releasing such information is required by law and/or when we consider it necessary to do so because of concerns of your risk to yourself or others.



You can sign up to receive a taster class, race day planner and e-newsletters via a landing page or my website. This requires a first name and email address. These details are stored by a third-party platform MailChimp, which gathers statistics around email opening and clicks using industry standard technologies to help me monitor and improve my content. Web analytics/Cookies

When someone visits or a third-party service collects standard internet log information and details of visitor behaviour patterns. This is to find out things such as number of visitors to the site, and which parts. The information does not identify anyone.
